Nefsis in meeting rooms… a useful tip

Every now and then, we get asked about the best way to use Nefsis in a meeting room environment, where users just want to enter an online meeting quickly and easily. This of course means you can save some time by not having to enter the web address, type in the conference ID and then manually turn on the video and audio in the conference.

A shortcut can be created to make entry into a meeting quick and simple.Thankfully, this can be easily achieved by creating a desktop shortcut, which you can double-click to immediately join the online meeting (example left).

In this type of usage scenario, we’d recommend you first set up a designated Nefsis conference for the physical meeting room. If you don’t know how to do this (or have simply forgotten – shame on you!), here’s a quick refresher… read more…

Conference Summary – Nefsis v5.3 improvements

Customising your email invitations

As part of the recently released 5.3 version of Nefsis – you now have the ability to create your very own email templates for use when inviting people to your meetings.

Email templates can be found on the Nefsis Portal and can be edited to suit your needs. You can also set a template to be "default", so whenever you create a meeting – it will use your custom email invitation as standard. The steps below will walk you through how to access, edit and use them.

  • Click My message templates on the left-hand menu

H.264 and MPEG4 Video Codecs

Continuing with some articles on the latest Nefsis release (v5.3 – if anyone out there is counting), we felt it was about time we mentioned a couple of tweaks behind the scenes that you may not have noticed.

Nefsis has introduced the H.264 codec for its video conferencing, alongside the existing MPEG4 codec.
Admittedly, for most people reading this, they’re just fancy words and codes that in reality don’t mean much – but they do come in handy…

As standard, any of your Nefsis meetings will use the MPEG4 codec; and in most cases performs absolutely fine and is very efficient. However, H.264 now gives you (the conference owner) the option to perhaps save a little more bandwidth at a miniscule expense of some video quality…

You can select which video codec you want to use when creating or editing a conference and can be done either via the Nefsis Portal or the Nefsis Contact List. The video options can be found by clicking Advanced, and then selecting the “Video” tab.

Password-Protect Your Conference

When creating or editing a meeting with Nefsis, you can set a variety of different passwords – for Host, Presenter and Participant.

The Host password is required – and is a random set of characters by default. However nothing is stopping you changing this to something more memorable. This password is very important, as anyone who knows it can gain access to your meeting and have full control over audio, video, what is being shared and can even expel people too!

The Nefsis Jargon…

It’s inescapable sometimes. There are just some descriptions we need to use when differentiating certain features of Nefsis.

Nefsis consists of two services (Online and Dedicated), two applications (Contact List and Conference Client), plus a web interface which is accessible via a web browser – no surprises there. Whilst we have tried to make things as easy to understand as possible, we do understand that at times it can be useful to know what we mean by certain Nefsis Jargon…

Nefsis Online

Also referred to as Nefsis Software-as-a-Service (SaaS) or Nefsis Hosted, this is our most popular service and allows you to conference and collaborate with colleagues around the world using our global server cloud.

Take control of a meeting with Host password

Have you ever found yourself covering or filling-in for a colleague’s meeting when their out of the office or on holiday?

For regular meetings in the office, this tends not to be a major problem. Just get the meeting notes or agenda and get yourself to the relevant meeting room; but ever thought about doing this when using online video conferencing software like Nefsis, WebEx, or LiveMeeting…?

Often, you can only control and gain access the meeting by using the meeting owner’s login details. However, this in itself can be an inherent security risk as these login details are often the person’s email address and personal password. Let’s face it – it isn’t exactly good-practice to pass around your own login credentials to colleagues when you’re lounging in the Bahamas drinking cocktails.

Take Host or Presenter option

Thankfully, Nefsis has a rather useful feature to help you avoid divulging your personal login details and allows your colleague to “Host” the meeting in your absence – controlling all aspects of the meeting. This can be achieved by using the “Take Host or Presenter” option from within the meeting itself…

Starting a Nefsis conference or meeting (tutorial)

Starting (or Hosting as we like to call it) a Nefsis video conference is straight-forward and easy…

If you’re ever interested in Hosting your own meeting online, all you need to do is to follow the steps below.

  • Login to the Nefsis website (www.nefsis.co.uk) with your account.
  • Click on your “personal meeting room” link.

Once you’re in your meeting, it’s probably a good idea to invite some colleagues – otherwise it’ll be fairly boring! Thankfully, as a Host in a Nefsis conference, you are given a really useful “Start” page to use, which helps you get the meeting up-and-running quickly.

Secure File Transfer

I am constantly receiving feedback from customers that one of the most used and possibly undervalued tools within Nefsis is the secure file transfer function.

This function allows the host to transfer files to all or to specific meeting participants whilst online, instead of sending them separately via email. PowerPoints, Excel spreadsheets even images can be shared and distributed to the meeting’s participants. With SSL/TLS Security built in Nefsis uses encrypted connections from end-to-end, including all participants and the conferencing server, ensuring that all data is sent over the same encrypted connection.
